Privacy Policy


TPADS is committed to protecting personal information.  This Privacy Policy relates to our use of any personal information we collect about people who audition or join the society young people and their parents/carers.  


Your personal data – what is it?


Personal data relates to a living individual who can be identified from that data.  Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation (the “GDPR”).



The information we collect



Application Forms


If you wish to join TPADS, we will collect basic personal details, such as your name, address, date of birth, parents’/carers’ names, email addresses and telephone numbers on an application form.

If you are successful in gaining a place in the society, we will then ask you to complete a membership form including the same information and additionally any health issues which we need to be aware of.  At this time we will again ask you and/or your parents/carers to consent to the collection of this information and permission to use any photos for publicity and website, facebook pages. If you are not successful in gaining a place, any information collected will be destroyed confidentially in a shredder.

Membership records are kept on a spreadsheet and are only available to the Director, Membership Secretary and Chair and kept on a personal computer password protected, a printout will be held by the Director confidentially in case of emergency.  Each year these will be destroyed confidentially.

If you leave TPADS then we will again destroy any application and membership details.


How we use and process your information


The Committee of Thringstone Pantomime and Drama Society (TPADS) complies with its obligations under the “GDPR” by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

Show Licences

All children and young people of school age will require a Local Education Authority licence to be able to participate in a show.  These will need to be signed by the School and parent/carer and sent within 21 days of the show to the County Council for authorisation and agreement.  Once your licence is confirmed and returned this will be kept confidentially onsite during the show by the Director for any inspection purposes.  Once the show is complete these records, together with a show booking record and any health & safety occurrences, will be kept for 6 months as required by the County Council.  Once this period has ended they will be shredded.

Emergency Contact details

Contact details and information on any health conditions will be completed each show for any children and young people of school age (16 and under) and will be kept confidentially on site during the show by the Director is case of any emergency.  Chaperones should be aware of who holds the information and of any health condition that they may need to be aware of for safety reasons.  This information should not be discussed or shared with other parties.

Security

We put in place reasonable security measures to protect against any unauthorised access or damage to, or disclosure or loss of, your personal information or your parents’/carers/ personal information.  We will not share your personal information (data) with any third party individuals or organisations.

Marketing Records/Ticket Sales


TPADS use ticketsource for the selling of tickets and associated mailchimp for marketing purposes.  Any public members who purchase tickets will be asked whether they would like to opt in to the mailing list.  An automated email will be sent in regular periods to ensure that the individual wishes to continue to opt in and that the information is correct.  Individuals when booking will have an opportunity to update their own records.  Alternatively they can email tickets@tpads.org.uk with their details to request to be removed or update their information.

Any manual mailing list prior to this system has been confidentially destroyed.


Your Rights

Please let us know if your information or that of your parents/carers changes as it is important that the information we hold about you is accurate and up to date.  Additionally we will ask you to complete a new membership form each year upon renewal and at that time we will delete the previous year’s information.

Members and your parents/carers have the right to request a copy of all the personal information we hold about you and them in a Subject Access Request.  To do this, write to us at the address below.  We will take all reasonable steps to confirm your identity before providing you with details of any personal information we may hold about you.


Changes to this Privacy Policy

We may amend this Privacy Policy from time to time, for example, to keep it up to date or to comply with legal requirements.  If there will be any significant changes made to the use of your personal information in a manner different from that stated, we will seek your permission first.
